Absolutely a feature that should be included.

There is currently not a way to view the actual message that was sent, only the forms that were sent. For example, when inviting a client to the client portal, there is a custom message that we paste. We would like to be able to review that message and currently are unable to.

It would be nice to have some way to view availability that has been entered in the calendar in a stand-alone list. There should be a consistent way that therapists enter their availability, maybe a drop down in the calendar event screen. We use 4 types of availability, but this could be customizable. I would settle for pre-populated options of 1) Available for Weekly Telehealth, 2) Available for Bi-weekly Telehealth, 3) Available for Weekly In-Person, 4) Available for Bi-weekly In-Person. This would make all available time slots consistent and reportable. A report or button within the calendar for "View available appointment slots for (time period) would save so much time. We spend a lot of time manually transferring availability out of the calendar into an excel file that an intake coordinator/scheduler can use to efficiently schedule callers. This is prone to error as well as difficult to maintain with constant changes. We have 20 therapists and growing and this is a daily challenge. A feature to address this, which I imagine is a common challenge, would be a huge time saver. Thank you.

We are currently using 'dummy' clients to indicate "Available for In-Person Weekly", "Available for In-Person Bi-weekly" and the same options for Telehealth.
We have assigned all therapists to these clients and then use the correct client name to indicate availability in the calendar. We can then search the client listing for the type of availability we are looking for (ex. search client list for "Available for Weekly Telehealth"), and even filter on the therapist if we're looking for a specific one, and immediately see their availability that is set in the calendar.
This is a clunky workaround and causes some other issues such as billable events, missing notes and additional "clients" in the caseload, but it saves us time in scheduling. A proper feature that addresses the need for efficiency in scheduling would be welcomed.

This would be 'game-changer' type feature. Please incorporate. One suggestion for implementing this: Create a pre-selection in the New Event window when clicking on a calendar day/time, offer a button for "Available Appt" or something like that.
Within the calendar, add a link to "Show Appts Available" that would display all available appts in a grid for the month, including therapist's name. Many ways this could be accomplished, but something along those lines to make it simple to find available appointments would be a huge time saver. Thank you.

This has been suggested and voted on for nearly 5 years.
Pamela Newman on June 8, 2017 summarized this succinctly and her comment still holds true. I see a lot of comments of people wanting to have the option to manually mark the claim as paid, and that is fine as there may be a use for that. But I can not think of a reason that the claim should not be automatically marked as "Paid" if a payment has been accepted, a balance written off, and the claim is in the Fully Paid Invoices tab of the ledger. Theranest automatically moves the invoice from Open Invoices to Fully Paid Invoices when there is $0 due (client or insurance), so why not mark it as "Paid" or "Completed"? In a case in which an entire balance is written off with no client or insurance payment, nothing was technically paid, so "Completed" may be the better status. Either way, claims that are in the Fully Paid Invoices tab should be automatically marked as Paid/Completed.

When there is a "0" balance from either client or insurance, it should automatically be marked as paid.

Since all client texts come through to phone with their initials only it would be a huge time saver to be able to search the client list by client's initials to quickly determine who is the sender of the text message.

Yes please. Also see "Deductibles Report" suggestion, which is the same concept.
We need a way to be able better stay on top of clients that have insurance with deductibles, aside from maintaining a stand-alone spreadsheet outside of Theranest. This functionality could potentially save users collectively hundreds of thousands of dollars by addressing an all-too-common challenge among private practices that accept insurance.

Absolutely need this. Managing client's insurance deductible is a significant challenge for practices that accept insurance. A couple of fields within the Bill To & Insurance screen for would help - as long as they could be reported on. For example, a check box option for "Client has a Deductible" and a field for "Deductible Reset Month" would be great and could potentially save users thousands of dollars to tens of thousands of dollars per year on mis-billed claims. An automatic reminder advising administrative users that there are active clients with deductibles about to reset would allow staff to be proactive and catch more of these situations that can have a significant negative impact on a practice's revenue cycle. Please add some kind of feature to help in this area.

For those clients that agree to a payment plan it would be beneficial to have the ability to schedule credit card charges in the future, and be alerted when they are made and/or if they fail.

Yes. Would save a lot of time. Make it either at midnight local time, or 24 hours after scheduled appointment time. This would allow enough time to change status of any appointments that were not attended, otherwise all "Kept" appointments would be charged. An opt-out feature at the client level would allow customization.

I think this works on the phone most of the time, but there are times when the navigation buttons may be hiding and user needs to scroll left or right to see them. This is what has tripped up some of our clients in the past. Theranest should take a closer look at the functionality of completing intake forms on various mobile devices to ensure it is consistent and fully functional.

Yes, agree with all the suggestions here. It would be nice to be able to see if intake forms have been submitted. Tracking this is a time-eater b/c there is a lot of manual tracking and checking happening. A simple report that displayed client name, date entered, first appointment date, forms status, would be great. An option in the "Customize Grid" screen for "Intake Forms Status" would be nice as well. More useful for our scheduler who is tasked with making sure forms have been submitted in order to keep the appointment. That person currently, without any tools/reports to help her, relies on paper and electronic notes to follow up with new clients to make sure their forms are in. The most important forms that we look for that are mandatory to have prior to keeping an appointment are Intake Forms (Consent) and also "other parent" consent forms when we have divorced parents of a minor. We spend a lot of time in this area, as I imagine others do, and some features to address it would be helpful.
