Add ability to indicate whether an appointment was cancelled by a staff member or a client

Thank you for your interest in adding this functionality to TheraNest! We have added the ability to select who initiated the cancelation or rescheduling of an appointment and it will be released to all customers in the coming months.
Thank you for being TheraNest Customer!

Add additional options for appointment status, to include clinician cancel, client cancel.
-
Jennifer White commented
Add the Appointment Status "Clinician Cancel" as we like to track statistics related to this in addition to Client Cancellation.

Robert Peacock commented
I would like to track cancellations by client and cancellations by clinician separately. Would it be possible to have those two options, versus just cancelled?

I would like to add "Therapist Cancelled" to the appointment status drop down menu
-
Amelia Taylor commented
Absolutely! Please add this, it would streamline my wording in the cancellation reason, as well!

I work on scheduling and have had to cancel a few appointments for therapists who have had to step out due to personal reasons. I know many places have cancelation policies and when we see CC on our schedules it is easy to assume the client cancels their appointment. Changing it to TC for therapist canceled will make it easier for scheduling reports and not accidentally put a flag on a client that didn't break a cancelation policy.

It is important to note if the cancelation was by a therapist or client. When an appointment is canceled by therapist, the calendar should indicate it with TC instead of CC. The ability to track client or therapist cancellations is important. Goal, to ease the burden of the supervisor by being able to address the issue of a client that frequently cancels or the issue of a therapist that frequently cancels. Clearly they are two different problems and spotting the issue early on is critical.

Bump! Come on Theranest, this cannot be that difficult to implement! Being able to run a report to see if decreases in income are due to client's or therapists' cancelations is important!

There have been variations of this feature suggested, but I think it would be really helpful to have a dropbox feature for cancellations to choose whether the clinician canceled or the client canceled. It would be great to be able to run a report for organizations to keep track of seasons when clients tend to cancel more frequently, and to be able to differentiate those cancellations from clinician cancellations for clarity. Thanks!

Agreed! Seems like a super easy thing to add. Please do so.

TheraNest- how come this idea was suggested SEVEN years ago with still no action? Seems like a really quick and easy update!

When we cancel an appointment because the therapist is out, it would be nice for the client to also receive the cancellation reason in their email notification (or at least be able to see it in the portal). Cancellations without explanation come across as rude.

Sometimes I'm the one who has to cancel. it would be nice to still be able to have that as an option so I know exactly why an appointment was cancelled looking back.

Carole Raspotnik commented
Would like both client and staff that cancelled with explanation.

Please indicate whether appt was CBC with an comment/explanation box or CBT with an support/explanation box.

for a solo practitioner it may be mildly helpful, but for a multiple clinician/group practice this would be a Godsend. As said by others, a "Cancelled by Clinician" choice would be very helpful. Adding a "Business Canceled" tab would also help refine the accounting of who is doing the canceling.

Have option on calendar to mark cancellation is due to clinician and not patient. We have a CC now, maybe an additional one so we can separate out. Would be helpful when reporting on client attendance.

Austin Rogers commented
Trying to separate out what is cancelation due to client's and myself taking days off.

It would be extremely helpful when running payroll, and when trying to figure out accurate cancellation percentages, if one of the cancellation reasons for the calendar could be "Employee Cancelled". You could even go with "Business Cancelled" if you prefer. A little text box to type out the specific reason would be awesome too.

To make reporting as accurate as possible, having an option for when staff cancel (for any reason- illness, weather, double-booking) would help make tracking more accurate, especially when running reports and not accessing individual charts.
