Pre-intake waiting list for prospective clients
Waiting list feature where client info can be entered and clients are listed in order received with counselor preferences and contact information.

 commentedAbsolutely! This would really help to have a way to track prospective Clients, including their contact and insurance information. That way, when they elevate to Active Clients all of their info would come with them. This would mean 3 categories of Clients: 1. Prospective/Wait List, 2. Active, 3. Archived. Only the Active would count against the subscription, just like it is currently.

 commentedBefore individuals become clients, they are first potential clients. It would be helpful to have a separate place to track individuals that have expressed interest but have not yet committed to counseling. Having a place to track contact information, contact preferences, follow up dates, etc would be incredibly helpful in reducing practice management time and would most likely help in conversion from potential to committed client. It would also be helpful for those individuals to not be counted against the active client count (no case notes or calendaring, etc...). Once they become a committed client, the previous information could be added to their client file.

 commentedA feature I have had in previous scheduling software had a tab that said "Waitlist", it allowed us to add someone to it and then anytime we went in and canceled an appointment a box would pop up showing who was listed on the waitlist and their contact information so we could immediately call them to fill that canceled spot. It was just so handy and much more convenient than having a written cancelation list.

 commentedI like all of the ideas posted here. Something to consider is to indicate if a wait list or call log could be created to track "callers", save the data i.e. date of contact, email, phone, message summary (what did the clinician say, etc.) and then save this not as "active client" (I don't want to have to pay for callers/potential clients), perhaps one client called "caller log" with such data?

 commentedI would like a place to record intake calls with notes. There is a place to record phone calls for existing clients, but not a place for people calling in asking to be clients. Sometimes they don't follow through or are referred to another clinic. It would be nice to have a place to record the notes so that if the client calls back later, there is a record of their original call. This is currently being kept on an excel spreadsheet, but it would be nice to have it all in once place for consistency.

 commentedI'd love a way to track prospective clients who have called and asked for information. I'd be able to write down their name, contact information, and notes of why they called. This would also be great to track phone calls of possible referral sources.

 commentedYes!! I completely agree. I want to be able to store information about their name, DOB, insurance, and notes from intake call without creating a new client. The new client is too tedious and too costly, especially since we actually schedule about 50% that we quote over the phone.

 commentedThis is a great idea and it would be great if the waiting list could have an option to be service specific. We have various group therapies so it would be nice if we could specify which group the prospective client was on the waiting list for so that we could track when we have enough clients to start or renew the group.

 commentedWould there be a possibility of adding a wait list feature to Theranest some time in the future? We are a teaching clinic and have new interns come in each May/June, so there comes a point where we need to close down incoming clients and keep a wait list (plus we usually just get that busy too).

 commentedIt would also be great if we as clinicians were able to create their own wait list / cancellation list for clients that are active and already assigned to a provider. In the past I used an EHR that would provide a "pop-up" window if an appointment status was changed indicating that there was a client (assigned to me) on the wait list / cancellation list that could be contacted to see if they would like to take the open appointment time. You could also view the wait list to see what clients were placed on the wait list. These features were greatly appreciated, as it also allowed to set time frames for each client placed on the wait list so that the client would share what time frames would work best for them.
