Pre-intake waiting list for prospective clients
Waiting list feature where client info can be entered and clients are listed in order received with counselor preferences and contact information.

 commentedSometimes our counselors get very busy and cannot see clients as quickly as they would like. If there was a waiting list that would notify us as soon as someone canceled, we could be alerted to contact the clients in order to try to fill that appointment.

 commentedI agree with this proposal from Tony, as we have a similar process tracking all prospective client contacts from the point of initiation. I think this type of alternate pre-client status would allow the calendar scheduling for intakes to work more smoothly as well.

      Sharon Anchak commented While I recognize that we pay based on the number of clients we have in the system, I have found it helpful to create some "non-client clients", including one I named "Assessment/Intake". When a new client schedules an appointment, I create the appointment under the "Assessment/Intake" client and put the client's name, contact info, etc. in the "notes" section of the appointment. If the client shows, I add them to the system and change the appointment to their name. If the client does not show, I modify the appointment to reflect if it was cancelled, a no-show, etc. This also allows me to click on the "appointments" tab under my "Assessment/Intake" client file and easily see a history of who did not keep their intake appointments and why. Granted, it would be easier if TheraNest allowed for such a non-client client file without me having to create it, but I have found this to work well for me in the meantime. :-)

 commentedI really dislike that I have to pay for each client, this forces me to use other methods to track potential clients. I have an influx of referrals that come to our office and when they come in, I can't use Theranest to track them, I have to resort to Excel or other software, then transfer the information back into Theranest once they become a client. I should be able to add potential clients with limited information, like a CRM management software, where they don't become a client until I schedule them in for an appointment.

 commentedI just place a hold in the schedule as a non-clinical event with the client's name and contact info in the notes section. Then when they show up for the appointment I add them as a new client.

 commentedIn our practice we track potential clients from the point of first contact. Some do not follow through, but for those that do we want that information as part of their record. We do not want to open a new active client record for all of those preliminary contacts, as that would explode our number of seemingly active clients. The way Theranest is currently structured, it would involve creating a record then immediately archiving it, which seems cumbersome. Pre-intake contact notes would involve only a minor amount of data and it would be very helpful to keep it all in Theranest. Otherwise we will have to track that information elsewhere and then enter it into Theranest once a client follows through, which kind of defeats the purpose of an all-in-one EHR.

 commentedWe would like to be able to enter callers interested in services with our company directly in our system without having to count them as "active clients' rather than have to keep them in a separate spreadsheet.

 commentedIt would be great patients who were wanted to make an appointment could go to through the patient portal to get on the waitlist if the therapists case loads are full. If a patient started to make an appointment through the portal, instead of getting a calendar of available times, there would be an option to add themselves to the waitlist. They should also be able to see what that expected wait time would be as well. Once a patient was scheduled, they should automatically come off the waitlist. I know Nextgen does this (but again, I don't like them.). Thanks for considering this, it would be a great way to measure if we needed to hire more therapists as well!

 commentedWhen a provider is full and the client wants to get in - we put them on a cancellation/waiting list. If the provider get a cancellation, we then call the clients on the waiting list to fill the appt spot. WE REALLY need this as our clients want to be called if any cancellations open up an appointment. If the system could call the waiting list - this would save administrative staff a lot of time!

 commentedThis would be awesome! I would love some sort of feature where we can keep track of clients who need appointments, and possibly a note feature to describe what's bringing them to counseling or what they are struggling with so we don't forget.

 commenteda tab option for a Wait List. Client information and day and time requested. It should alert when requested appointment becomes available.
