I really like this idea. We gather so much information in that first phone call it would be nice to have a place to jot those notes down.

A text box that links to the appt (or not, but prefer it does) where the admin staff can put notes like "owes past copay" or "insurance is out-of-network" or "don't collect copay" or "sign papers" etc. I know you can put that on the actual appt notes box each time, but would like a sort of "scribble box/post-it note/alert" box to type into the client's details. (When we used hard files, I could just stick a post-it on the chart.) & IF it could show on the appt like the copay does, that would be awesome - even if it just showed "alert" or "admin note" or something like that. There is no way for me to communicate that I have looked up insurance & that it won't cover us or if there is a special billing issue or if there is paperwork to be completed/signed. I only work part-time & usually don't see the clients. The provider is the one who collects the $ & lets the client know what we need. It would be SO helpful to be able to have what I need right there on the screen - maybe even a pop-up that he has to x out of?

It would be so great to have a place to write down a few things from when people first call. It's so hard not having a place on a clients "homepage" (details section) to jot down any notes I need to remember or follow up on.

an admin. alert would help us know if a client has an outstanding balance on the account, form to be completed, signature required or any other type of personalized brief note the front desk can see immediately upon check and review with the client as needed!

The ability to input alerts that pop up when the therapist accesses the calendar or the client file. Example of alerts are: Client's who have policies that don't allow certain CPT codes, or when a client has a limited number of sessions, or has to self-pay before meeting a deductible.

We need to have a place to document non-clinical notes for admin type encounters. These should be date & time stamped and uneditable once saved in order to preserve the integrity & accountability of the note. Billers should have a place in the ledger to document financial issues and then a separate place should be created near the demographics screen for general notes where front desk staff can document calls, co-pay issues and other scheduling issues as needed.

Sometimes there is something special we need to be reminded about Client . It would be nice to be able to add quick notes in the Demographic section so that it will pop up under demographics section or even when they schedule appt.
An example would be:
Need to Get Signatures
Need updated address info
Need change recurring apt time -

This can be used in many ways, delinquent accounts, remind a credit card is declining, remind that you need paperwork, or updated insurance information.
This needs to be a "pop up" type so that the therapist or their office sees it every time until the alert is turned off or issue is rectified.

Not all receptionists know days later that a particular client may owe a late fee, or need to update their cc, or have something else that needs to be finalized before they can check in or be seen. There should be an alert, or the name should be italicized, or have an exclamation point next to it, or something to grab the attention of the receptionist so we can resolve any issue immediately, instead of noticing three days later and there being an issue.

Wish there was a place to put in alert notes to notify the staff or any issue especially balances or deductible.
Wish there was a seperate place that would show the front desk what the balance is for each patient quick. Allow me to make the invoice paid by the insurance company

There needs to be a field where staff can record notes to keep in mind when contacting a client (ie, client rarely answers cell, strongly prefers text messages, can't be scheduled before/after another client, moves to another state for half the year, etc), since the fields offered can never cover all scenarios.
