Add more control of editing and sending calendar/scheduling alert emails sent to clients and groups
I have a very tightly booked schedule and sometimes make mistakes and have to fix something, particularly while making future appointments. I feel this should happen behind the scene until things are right. However, people who are subscribed the portal get notification of everything I do immediately, even it's an error. It's annoying to all of us. I think there should be a way to stop this feature. Currently, if I make an error, I have to delete their text and email address, then make the changes, then put the email and phone number back in. It makes me want to dump the portal altogether. Please add a way for me to have better control of this feature.

I agree 110%. I had an upset parent today, because she received notification of a cancelled appointment about 1 hour from her actual appointment and was then left confused. It wasn't until she opened the email and saw that is was a cancellation for another day, that she knew to attend her session today.
We want clients to receive invoice notifications, but we want to be able to choose for them to receive appointment notifications. Isn't this why you have that as an option for us to turn on/off in client notifications. I also want to be able to change our schedules, which can change frequently and not have parents notified every time, especially as I often make mistakes when juggling everyone's schedules around. Very frustrating. Please provide a fix -

I agree. In addition to the confusion caused to clients when we make mistakes on our end, we also currently have a separate system that we use for payments that is already sending out appointment reminders. So, the TheraNest reminders are redundant, even if they're correct. It's also not made clear anywhere that these emails are going to automatically be sent. We've figured it out by trial and error, and it only comes to our attention when we've made scheduling errors. What's the point in being able to turn off our email reminder settings if it's going to be sending these notification emails anyway?
We're fortunate that we can turn off email contact for our clients since we don't currently use TheraNest for invoices, but even that is inconvenient and imperfect. -

If I schedule an appointment, an email is automatically sent to the client as soon as I save it. There should be a button on the appointment creation page that I can choose if this occurs or not. If I make a mistake, the client is getting multiple emails with scheduled, canceled, scheduled etc. This needs to be fixed immediately as it is causing confusion for clients.

I completely agree with Lorraine! It is setting an expectation of us being perfect and we definitely are not! I have 7 therapists and especially when the new ones start using theranest, they make scheduling errors. When it sends a cancellation notice to the client, we have lost money as they haven't come at all that day. Please add a way to have better control of this feature!

My clients get startled and confused when they get a notification via the Portal that a session has been cancelled by me. I would prefer to be able to explain to them in person why I have cancelled or moved around appointments to protect my own scheduling needs.

clients also get notification of changes made to appointments in the past. It seems pointless to send reminders for past appointments. We are constantly having to adjust our group appointments and clients complain about the mass of e-mails.

Add option to send notification of appointment having been made when I choose to do so. It goes automatically now and if I make an error in entering the appointment the client gets both messages.

Stop sending email notifications to group members when the organization does not have email notifications selected. We run around 10-12 groups a week and whenever we move something on the schedule, all the members get emails saying its canceled when it isn't. This is super frustrating as it costs us money when someone comes because they got a theranest email cancelatin.

I have had people panic thinking that their appointment is cancelled because they got an e-mail after I made an error in putting something in my calendar. This is so unhelpful and makes me afraid to touch my calendar, making it much less useful to me.

I have had two situations where clients were notified of cancelled appointments due to me moving around the schedule or making an error. I would like to have the option of not notifying the client of any changes through theranest.

Yes! If I do not want my clients to be notified immediately of my calendar scheduling of them (into the future or correcting a mistake), right now I must go in to each client individually and turn off the "email notification" button to make calendar changes. Please add a function in the calendar to turn on and off alerts to all clients so that I can make changes without them being notified immediately. Thank you!

It would be great if no notifications go out to the client for scheduling. There are times I make a mistake or have to make an adjustment, the client gets notified and is confused. It is embaressing and looks unprofessional on my part

This is a big problem for us. If there is any error in a group on the calendar (due to clinician scheduling it)-there are emails being triggered to all the group members. We have 8-9 groups running every week and if a recurring appointment ends, if a therapist accidentally drops it in the wrong space on the calendar, or deletes the appointment instead of changing a members status to canceled-then ALL group members receive an email and start calling the practice/texting therapist to see if group is still on, if time has changed, etc. We have had clients not show to group due to the theranest cancelation which means we lost money in that appointment.
We are set for no email appointment reminders, but it appears this only applies to individuals. PLEASE change this feature so we can stop getting calls and avoid confusion for our clients. We do announce in all groups to disregard the emails from theranest about appointments but it keeps happening. And with 6 clinicians in charge of their groups, I can only control error on their end so much.

Ditto to all of the other comments! Makes me look pretty unprofessional in my practice when I make a small error then client gets an email to ensure they noticed. Ugh! Please right this issue asap:)
