Add log of when statements/invoices/superbills are emailed to clients
It would be great if there was a record on each client's ledger when the last statement or invoice was sent to them. We need to be able to track dates of when invoices/statements were sent to clients in order to give them a 2nd Notice or 3rd Notice of payment due.
The Activity Log will now include a record of when statements, invoices, and superbills are emailed to the client. Check out our release notes for more information!

I use TN to make life easier, and there are many reports that I don’t need/use- this would be a definite time saver! Please consider adding a report of all invoices emailed and their dates. There is currently no way to track this without significant steps to make notes in each file and then pull every client each month to see status.

I'm bummed that this idea was suggested originally in 2016, and lots of folks have commented in support with additional great ideas for making superbilling and invoicing better. I've only been working in Theranest this year and I've found the lack of a history or log to be GLARING. This type of electronic record has been a standard part of health insurance billing for over 20 years.
Come on, Theranest! Please catch up! We're all waiting for you to make this happen. -

This would be fantastic. Currently, we manually organize them externally from therapist. It would be so helpful to have it all in one place, especially if you could see when the last superbill was sent.

Would love a tracking feature to see if I sent an email with superbill/invoice to client as with superbill you can send yourself a copy but not invoice (or is the other way around). A logical place to show this action would be under activities. I was checking there to see if I had sent it or not, but there is no record. Prevents embarrassing duplicate invoices or sounding unorganized.

Tracking Statement Dates for Batch Printing
Add a field to the client table that tracks the last date of statement.
Add a field to the client's table to turn on/off statement generation in batch printing.
Add a field to the organization's table for the default period between statements.
Add or change the batch statement routine so that I can run statements once a week, a month, or whenever I have time and the batch will only send to clients that have statements turned on and have not already received a statement since the default days between statements.
Being able to send statements more quickly results in a higher likelihood of payment by clients. It is also cumbersome as it exists now. I just want to click on batch printing and have the routine print all open invoices for clients that haven't had a statement in my default period. I am only interested in client balances because if it is an old insurance balance, an aged receivables report should have had me working it and i either writing it off, refiling, or moving it to patient balance. -

I would like to send statements each week to everyone that hasn't had one within 30 days. A field in their table that holds the last statement date would allow your statement routine to discriminate. If we want to send statements every 30 days, we can type the default number of days between statements in our Organization screen and then run them. That way, I can run them every Friday and Theranest will send only to clients that haven't gotten one within 30 days (or whatever we set our default). Faster statements means better likelihood to pay.
I print invoices at time of visit, so that isn't as important to me, but it could be done in a similar fashion- it would just have a field that marked it printed or not. A batch routine would pick up on whether it was printed or not. -

Need to see when each invoice was emailed to a client, not when the invoice was created necessarily.. we often need this proof when a client is late on payment to show how long they've had the invoice

We need to be able to track dates of when invoices/statements were sent to clients in order to give them a 2nd Notice or 3rd Notice of payment due. Right now we are saving a copy of an invoice to the client's General Documents file as a PDF and saving it under the date mailed, but this is bulky and can be streamlined.
ALSO, can we be able to modify the date of the invoice when sending to the client? In the age of high deductibles and out of pocket maximums, we submit the invoice to the insurance first and then wait for the EOB to come back to confirm the client's responsibility.But if I try to send an Invoice to the client, the date of the invoice is the date of the initial claim to the insurance and that gets confusing.

It would be GREAT if the system would indicate that a superbill has been sent. Right now, it doesn't show that, so you have to mark it somewhere else.

Yes, Please! I typically send out invoices monthly, so I need to know whether the invoice was already sent in the previous month. ALSO, being able to add something to the invoice about "Payment Past Due," "2nd Notice of Payment Due," or "Services are Suspended Until Payment is Received." We frequently do have to suspend treatment when clients are not paying, so we need to track how many notices they have received and when.
