Client authorization tracking by date and remaining sessions
Often we are given an authorization for a certain number of units and/or sessions and need to track how many units/sessions we have left to alert us to send in an authorization request. Allow me to set this up so that TheraNest can alert me when we reach a certain number of sessions left, so that I can call and get another auth.

Authorizations can now be created exactly how they are received from payers! When creating an authorization, you can now specify the start and end date, link service types, view authorization statuses when creating an appointment (if enabled), and track the authorization by units or sessions. A new report is available to help you track utilization of authorizations across all clients. Click the following link to learn more: https://theranest.zendesk.com/hc/en-us/articles/11747874480148

Theranest has said they are working on this but after months of getting the 'run around' and zero commitment around this we are now looking to move off of Theranest. This feature gap has cost us thousands.
How are others managing authorization codes?

We've tried to work with Theranest for months on this requirement and are getting no where and no commitment that it will be addressed. How is everyone else managing authorization codes? We have to do it all out side of the system which is a nightmare.

Please don't just include a number of sessions, but have the option for a duration of time as well. Typically we get an "open authorization" to provide services for anywhere from 3 to 6 months. It would be nice to have the option to put in a number of sessions to alert us, or a end date to alert us.

I would agree that this would be a very beneficial component to have. When working with our state's Medicaid program, we receive authorizations for number of therapy sessions and also for specific units of in-home based services. It is very time consuming to attempt tracking all of this information in spreadsheets, which then have to be compared with Theranest on a daily-weekly basis. Almost 50% of our services are authorized by multiple components (CPT codes, sessions, or unit increments). Many Medicaid services are authorized, billed and tracked in this manner and to have EHR and billing that supports those issues would not only be a huge asset to the providers who use Theranest, but also a hot market area for Theranest in recruiting new providers.

I get approvals for more than one cpt code at a time and need to be able to track how many sessions I have left of each one and when the authorization runs out. This is essential with medicaid.

Great Idea

If you have a certain number of authorized sessions for different codes, it would be great if there was a way to track remaining sessions for each code.

Melody, I am using the feature that you described. It allows you an alert after a certain amount of sessions. It does not do a count down to let you know how many sessions you have remaining for each approved authorization and/or billing code. It also does not allow you to put the end date of the authorization. These are the features that we are requesting and they are vital to keeping track of sessions.

THIS IS ALREADY AVAILABLE UNDER INSURANCE AND # OF SESSIONS; THEY SEND AN EMAIL TO THE ASSIGNED THERAPIST THAT IT IS TIME FOR REAUTHORIZATION. IT ALSO SHOWS UP UNDER THE BELL WITH ALERTS. PLEASE ASK THERANEST FOR INFO BEFORE YOU SUGGEST AN IDEA OR VOTE ON SOMETHING!

Include a spot to enter an authorization end date in the insurance field near "prior authorization number". We would need it to enter how long our insurance authorizations are good for before we send in for another one.

Use the "Set Reauthorization Reminder" on the "Bill To & Insurance Info" tab. You will receive an Alert when you are nearing reauthorization requirements for clients. We have used it for our agency.

Instead of just getting an alert when I have 2 sessions left on an auth, I need to know when a dated auth is coming due. About 60% of our 300+ clients have auths that are based on a date NOT on session number. We need to be able to enter start and end dates, auth #s,session # s,and insurance company for each auth.

Agreed...this is essential. Thanks.

We are also in comparison with our current EHR and love alot of Thernest - but this is vital to be identified as a real asset - we MUST have the tracking of authorizations and reminders when to resubmit.

Most authorizations have a start and end date. So you really need to add a start date and end date. Just b/c we have 6 visits authorized in your system does not mean that those visits have not expired. We need to be able to keep up with visit counts and end dates.

Insurance companies have number of sessions as well as start and end date for an authorization. Having a field to track end date is important.

Be able to enter more than one authorization with a start and end date and units for each, especially if every CPT code has a different auth date range and units

This is a very important feature that is needed desparatly.

Most of our clients have authorizations that are valid for one year so it would be very helpful to be able to enter the date the authorization expires and then get a warning X days before this date. It would also be helpful to be able to produce a report showing authorizations about to expire.

The detailed countdown the September 10th commented suggested would be great. It would be nice to see this on the progress notes or treatment planned so it could be easily monitored too.
